A vanity domain (or a custom domain) allows your users to access our platform using your own branded URL instead of the default SphereMail URL. For example:

  • Default URL: yourcompany.spheremail.co
  • Vanity Domain: mail.yourcompany.com


Before you begin the setup, please ensure that you:

  • Own the domain you want to use (for example, yourcompany.com)
  • Have access to your domain's DNS settings through your DNS provider (GoDaddy, Cloudflare, Namecheap, etc.)
  • Have the correct SphereMail portal URL that was created for your business, so you can map it as the target for your vanity domain.


1. Choose Your Vanity Domain:

Decide which subdomain you would like to use for your white labeled application. Common examples include:

  • app.yourcompany.com
  • mail.yourcompany.com
  • login.yourcompany.com
  • members.yourcompany.com


Note: If you have multiple SphereMail locations, you must create a separate vanity domain for each location and point it to the right SphereMail URL.


2. Head to Your DNS Provider:

  • Sign in to the service where your DNS records are managed (GoDaddy, Cloudflare, Namecheap, etc.)
  • Navigate to the DNS Management or DNS Records section for your domain.
  • Create a CNAME Record with the following values: 
    • Type: CNAME
    • Host / Name: Your chosen subdomain (for example, app)
    • Points To / Target: the SphereMail Portal URL that was provided to you by our team

For example, if you want your users to access your application at app.yourcompany.com and we provided you with yourcompany.spheremail.co, then your CNAME record should look as follows:

  • Type: CNAME
  • Host / Name: app
  • Points To / Target: yourcompany.spheremail.co
  • Finally, save your new DNS record and allow time for DNS changes to propagate.
    Note:     this typically takes a few minutes in many cases, but can take up to 24–48 hours in some environments based on your service provider.


3. Notify Our Team to Finish the Setup:


Once the DNS record has been created, contact our support team and provide:

  • Your vanity domain (for example, `app.yourcompany.com`)
  • Confirmation that the CNAME record has been added successfully

We will verify the DNS configuration, complete the domain setup, and provision the SSL certificate required for secure access. Then you will be notified to start marketing and sharing your vanity domain with your users.
