Mail Storage Cycle:
When you log a new mail item into the platform, the customer is notified that they’ve received mail at your location. From there, the customer can request one of several actions (e.g., scan, forward, hold for pickup, shred, or discard).
The mail storage cycle begins as soon as the mail item is entered into the platform and continues until the item has been processed through one of the following actions:
- Forwarded: the item is shipped to the customer.
- Picked up: the item is confirmed to be collected by the customer.
- Shredded or discarded: the item is recyled or securly destroyed.
Until one of these actions is completed, the item remains in an open cycle and counts as stored mail.
Storage Fees:
Storage fees willl start to apply if a mail item stays in the platform for more than 30 days without its cycle ending.
After 30 days, you will be charged $0.05 per mail item* per month until the cycle ends.
*Note: Packages are exempt from storage fees.
Managing Stored Mail:
You have the option to charge your customers for storage.
To set up the charges, head to your Business Settings > Plans > Plan Conditions:
- Modify your plans pricing and set the "Letter storage per item" and "Parcel/Package storage per lbs/kg" line items to the desired price.
You also have the option to disable the storage fees for specific customer accounts, following these steps:
- Navigating to the customer account in question
- Head to the Plans & Billing tab
- Click on the "Billing options" hyperlink
- Disable the stored mail and/or packages charge toggles
How to Track Stored Mail
As of August 2025, stored mail items will have a new status label clearly stating "stored", and you can keep track of all stored mail on your account within the updated view under Mail Management. So if you have any stored mail, you'll find this new icon at the bottom of your navigation bar:
